Scope and details under review

This notice covers nexaintel.io and its demo and conversation booking flow. Institutional engagements and confidential work require separately agreed information-handling arrangements.

The responsible legal entity, dedicated privacy contact, formal retention schedule and account-specific international-transfer arrangements are being confirmed. This notice describes verified website behavior while those details remain under review.

Information you provide

The Google-hosted booking form asks for your name, work email, institution, institution type, meeting purpose and booking consent. Phone number, employee-size band and discussion details are optional. It also uses your selected meeting time, language and email verification code.

These details support email verification, scheduling, invitations, preparation for your conversation and booking correspondence. Please provide only a non-confidential description; do not submit client records, sensitive documents or unnecessary personal information.

Booking and service providers

The booking form runs on Google Apps Script. Confirmed booking details are saved in the organizer’s Google Calendar. Verification messages, invitations and correspondence use Google Mail, and meetings use Google Meet. Submitted details become available to HAVA’s meeting organizer and the Google services used for booking.

This website is published through OpenAI’s Sites hosting infrastructure, which uses service providers including Cloudflare. Hosting and embedded-service providers may process technical information such as IP addresses, browser information and request logs to deliver and secure their services.

The Google booking frame loads when the form is open. Google’s own privacy practices apply to its services; its cookies or storage are separate from HAVA’s language and motion preferences.

Browser storage and cookies

The website saves your language and reduced-motion choices in your browser’s local storage when available. You can change these choices with the site controls or remove them through your browser’s site-data settings.

HAVA’s website code does not set advertising cookies or include advertising trackers. Hosting and embedded Google services may use their own cookies, storage or logs. This statement does not describe those providers’ entire data practices.

Retention

Booking details remain in Google Calendar and related email records. The booking integration does not automatically delete those records; a formal retention period for them has not yet been confirmed.

Email verification codes expire after ten minutes. Temporary verification and rate-limit records use hashed identifiers; expired records are removed on later availability or verification requests, rather than by a scheduled deletion at expiry. Provider log, backup and account-retention settings remain subject to confirmation.

International processing

Google and the website hosting providers operate internationally, so information may be processed outside your country. The locations and transfer arrangements that apply to HAVA’s particular accounts have not yet been confirmed; no specific data-residency guarantee is made here.

Questions and privacy requests

Depending on applicable law, you may have rights concerning access, correction, deletion or other uses of your personal information. Your browser’s controls let you remove this website’s locally stored preferences.

For information already submitted, reply to your HAVA booking verification email or calendar invitation to ask about access, correction or deletion. A dedicated public privacy contact is being confirmed.
